How it works
Three steps, and only one of them is yours
Setting up a document is a one-time job. After that, every customer is a link.
- 01
Upload your document once
A PDF, a scan, or a photo of a paper form. FormFlow reads it, finds every question and every place an answer goes, and builds the mobile form for you.
Takes about a minute.
- 02
Check it, then approve
You see your document with every detected field outlined, and a test fill using realistic sample data so you can see exactly how answers will print. Move anything that is off. Approve once.
You only ever do this once per document.
- 03
Send a link. Get it back signed.
Your customer opens the link on their phone, answers plain questions, reviews the real completed document, signs, and submits. The finished PDF lands in your dashboard.
No account for them. No app to install.
Document fidelity
You get your document back, not our version of it
Most tools give your customer a new form and email you the answers. FormFlow puts the answers back onto the document you are required — or simply prefer — to keep using.
Formatting is the document’s problem, not your customer’s
They type their number once, however they like. FormFlow prints it the way this particular form prints it.
They type
3035550198
Form A prints
(303) 555-0198
Form B prints
303-555-0198
Form C prints
303 555 0198
And a form with ten little boxes prints
Checked before it is ever sent
Before you can approve a document, FormFlow fills it with deliberately awkward test data and measures the result.
- Every value stays inside its own line, box or table cell
- Nothing is printed over words already on the form
- Marks land in the exact centre of the printed checkbox
- Nothing shrinks below a size a person can read
- Segmented numbers land in the right segments
- Signatures fit without stretching
If something does not pass, FormFlow says which field and why — and will not let you approve the document until you have looked at it.
Paper welcome
Photograph the paper form. That is the upload.
Plenty of the forms a business runs on only exist on paper. Take a picture of one with your phone and FormFlow flattens the lighting, drops the shadow and the show-through, and turns it into a clean scan — then treats it exactly like any other document.
- Uneven lighting and hand shadows are measured and removed
- The page keeps its own shape — nothing is stretched to a paper size it was never on
- Lines, tick boxes and table cells are found from the pixels, so a scan works as well as a PDF

Everything the workflow actually needs
Reads what is already there
Native PDF form fields, printed rules, tick boxes, table grids and captioned cells — measured from the document rather than guessed at.
A form, not a PDF
One clear question at a time, in sections with a progress bar, with the right keyboard for each answer.
Questions that follow on
Ask "may we contact your employer?" only when they said they have one.
Add another
Employers, dependents, vehicles — a button on the phone, the right rows on the printed table.
The real document before signing
They see the actual completed form — not a summary — and confirm it is right before they sign.
An audit trail that holds up
Sent, opened, completed, reviewed, signed. Timestamps from our server, and a SHA-256 of the final PDF.
Versioned templates
Change a document and the old version stays intact, so a signature from six months ago can still be explained.
Nothing invented
The system never fills in an answer nobody gave. Only what your customer typed reaches the page.
Security
Built for information people would rather not hand over twice
These documents carry names, addresses, salaries, medical answers and social security numbers. The architecture assumes that from the first line.
Encrypted where it matters
Answers and signatures are encrypted with AES-256-GCM before they are written to the database, not just on the disk underneath it.
Strict tenant isolation
Every query for business data is scoped to the organization server-side. Front-end checks are convenience, not security.
Unguessable links
Recipient links carry 256 bits of random. Only a hash is stored, and they expire and can be revoked.
Private files
Uploaded originals and signed PDFs are never publicly addressable and are served only through an authenticated route.
Quiet logs
Form contents, signatures and identifiers are never written to logs. Not even the signing link.
Deletable by design
Retention is configurable, and submissions, PDFs and signatures can be deleted.
Plainly: FormFlow is a young product. We build to current security practice, and we do not claim SOC 2, HIPAA or any government certification, because those require audits we have not done. If your document has a specific regulatory execution requirement, FormFlow can complete it and leave the signing to you.

Questions people actually ask
Do my customers need an account?
No. They open a link, fill in the form, review the completed document, sign, and they are done. Nothing to install, nothing to remember.
What if the document is a scan with no text in it?
That is fine. Lines, tick boxes and table cells are found from the pixels rather than from a text layer, so a scan or a photograph works. You can rename anything the analysis could not read before you approve.
What if a field is mapped to the wrong place?
You will usually see it in the test fill, which happens before you can approve. Drag the field where it belongs, change its type if needed, and re-test. It is a one-time correction — customer submissions after that are deterministic.
Can I change a document after people have signed it?
You can change the template, and doing so creates a new version. Documents already signed stay attached to the version that produced them, and a signed PDF is never modified.
Is an electronic signature valid for my document?
For a great many business documents, yes — but it depends on the document, and we are not in a position to advise on yours. FormFlow also has a populate-only mode that completes a document without signing it, for anything with its own execution requirements.
What happens to my data if I stop using FormFlow?
You can download everything, and you can delete it. Retention periods are configurable, and deletion removes the submissions, the PDFs and the signatures.
